We are currently seeking an experienced Office Manager/Project Assistant (m/f/d) to join our Project Team in Kosovo.
Task description: 

Office Management & Administration

  • Arrange and coordinate meetings.
  • Provide support services to experts including transport, hotel bookings, etc.
  • Ensure smooth operation of office resources and support staff (translators, drivers, cleaners).
  • Maintain and backup project records and filing systems.
  • Manage project finances, including payment of invoices, financial record-keeping, and liaising with auditors.
  • Support the timely completion and submission of timesheets for all staff.
  • Manage office resources and ensure utilities are maintained and paid.
  • Support in the preparation and submission of financial accounts and reports.
  • Ensure efficient project administration and controlling of the project office and logistics.
  • Facilitate the arrangement and coordination of project events, workshops, seminars, and training events.
  • Support the development, consolidation, and formatting of project and internal progress reports based on standard templates predetermined by GOPA Infra.
  • If needed, handle the procurement of goods and services as directed by the Team Leader.


Deliverables

  • Regular reporting of monthly financial accounts to GOPA Infra HQ, including supporting documents.
  • Formatting of project reports, training manuals, meeting minutes and etc.
  • If needed, provide translation and interpretation services for reports, minutes of meetings, and other documents between English and Albanian. Also, provide interpreting services at workshops, site visits, and for foreign consultants.
Qualifications: 

Required profile

Experience: Minimum 2 years of experience in office management, project assistance, or as a junior engineer.

Skills

  • Excellent English language ability.
  • Experience in office management and project assistance.
  • Proficiency in MS Office and MS Teams.
  • Translation and interpretation between English and Albanian is a great asset.
  • Accounting experience is an asset.
